Policy acceptance

How policy acceptance works

Policy acceptance is the process by which each person confirms they have read and agreed to the policies that apply to them. In Tidal, this works as follows:

  1. A policy version is assigned to a group as a check.
  2. Every member of that group sees the policy as a task on their My Onboarding page.
  3. The person logs in to Tidal Control and accepts the policy.
  4. Tidal records the acceptance with a timestamp.
  5. Once a person has accepted all their assigned policies, they are marked as compliant.

Setting up policy acceptance

Before employees can accept policies, two things must be in place:

  1. The group must have a policy assigned. See Managing groups for how to assign policies to a group.
  2. The person must have access to Tidal Control. They need a login to visit their My Onboarding page. See Managing people for how to invite someone.

A person can only accept a policy if they are a member of a group that has that policy assigned. Assigning a policy directly to a person is not possible — use groups.

Completing policy acceptance (for personnel)

When a person logs in to Tidal Control, they can find their open policy tasks on the My Onboarding page:

  1. Go to My Onboarding via the menu.
  2. Review the listed policies that require acceptance.
  3. Open each policy and read its content.
  4. Click "Accept" to confirm acceptance.
  5. The policy is marked as accepted with the current date and time.

Tracking acceptance progress

Per person

  1. Open the person's detail panel in the People overview.
  2. Select the "Tasks" tab.
  3. Each row shows a policy name, version, and:
    • Accepted — the date the person accepted it
    • Pending — not yet accepted

Across the organization

The compliance dashboard at the top of the People overview gives an overview at a glance:

  • The Compliant tile shows how many employees have completed all their checks.
  • The To accept counter in the Needs attention tile shows how many employees have access but still have open tasks.

Progress ring

The Progress column in the People table shows a ring per person:

  • No ring / "Not started" — no policies assigned via groups
  • Orange ring — partially complete (e.g. 1/3 accepted)
  • Green ring — fully complete (all policies accepted)

What counts as compliant?

A person is counted as compliant when they have accepted all policy versions assigned through the groups they belong to. If a new policy version is assigned to a group, or if the person is added to a new group with existing policy assignments, their compliance status resets until they accept the new tasks.

Tip

When you release a new version of a policy, assign the new version to the relevant groups. All group members will then receive a new acceptance task for the updated version.
