When your environment is not completely set up yet, you may see an empty policies overview page. All policies are initially archived but can be activated based on your compliance requirements.
To activate the policies you need to link specific policy-tests to the relevant controls. These tests provide direct feedback on the policy status.
In the control overview page, you can link tests to controls. For example, the test "Establish the context of the organisation (ISMS_001)" can be linked to control P_001 Policies. Policy tests can be identified with their use of the policy ISMS ID number.
After linking all required policy tests, the policy overview page will show a list of your required policies. Initially, these policies may have "Not Started" status and display a start button.
From here, you can:
- Start a policy from scratch using our policy viewer and editor
- Set up policies as uploaded documents (PDF or Word)
For more information, read the policy editor guide or the Upload existing policy documents guide. Once policies are set up, the overview page will show:
- Policy status
- Approval date
- Policy owners
- Document type (uploaded document shown with paperclip icon)
- Version of currently approved policy
- Whether a draft is available
Policy Management Actions
Assign Policy Owners
To assign owners to policies:
- Use the selection boxes on the left side of the overview page
- Select one or multiple policies
- Click the "Assign" label that appears
- Choose from the list of available users
Approve Multiple Policies
To approve multiple policies:
- Use the status filter button to find policies in draft or needing review
- Use the selection boxes to select policies
- Click the approve button that appears instead of filter buttons
If a policy has a draft available, the most recently created draft will be approved.
Revoke Policy Approval
If you need to reset the approval state of a policy document:
- Click the manage button
- Select "revoke approval" from the menu
- This removes the approval state of the specific version and might affect the test status, which may impact control status
If a previous version is available and has an approved status, this will become the fallback policy.
Reset a Policy
If you want to switch from uploaded Word documents to managing policies in the application:
- Click the manage button
- Select "Reset policy" from the menu
Reset the policy to return its state to "Not Started". Start the policy again and choose the "Create with policy editor" option.
